Data is collected directly from you through:

• Coaching conversations (verbal or written)
• Booking forms or calendar tools (e.g. Calendly)
• Audio recordings (Zoom) and automatic transcriptions (via Otter.ai)

Consent for recording is requested verbally at the start of each session and logged in my coaching logbook.

4. Why I Collect Your Data

I collect and process your data to:

• Conduct coaching sessions
• Reflect on my coaching as part of training and development
• Share recordings and anonymised transcripts with my mentor, supervisor, or Animas assessor to receive feedback as part of my coaching qualification

By giving verbal consent at the start of a session, you agree that your recordings or transcripts may be shared for these purposes without further separate consent.

5. Lawful Basis for Processing

My lawful bases for processing personal data are:

• Consent – for recordings and storing session data
• Legitimate interest – to provide coaching and develop professionally

6. How Your Data is Stored

• Audio and transcripts are stored on Otter.ai, a secure, encrypted cloud platform.
• Otter.ai uses servers based in the United States and participates in the EU–U.S. Data Privacy Framework, ensuring appropriate protections under GDPR.
• After transcription, session files are downloaded to my password-protected local drive.
• Handwritten notes are digitised into my coaching logbook and then destroyed.

7. Who Has Access to Your Data

Your data is accessed only by:

• Me (your coach)
• My mentor or supervisor (for feedback and learning purposes)
• My Animas assessor (for final certification review)

All shared materials are handled confidentially and used strictly for developmental purposes.

No data is shared with any third parties for marketing, sales, or automated decision-making.

8. Data Retention

• Your data is retained for up to 12 months from the final coaching session.
• You may request earlier deletion at any time.

9. Your Rights Under GDPR

You have the right to:

• Access the data I hold about you
• Request correction or deletion of your data
• Withdraw consent at any time
• Complain to the ICO (UK) or your national data protection authority

10. Privacy Notice Review

This Privacy Notice will be reviewed annually or upon completion of my coaching certification, whichever comes first.

11. Cookies and Analytics

This website (https://unfold-coaching.vercel.app/) does not currently use cookies, trackers, or analytics tools. If this changes, you will be informed via an updated notice.
